Chicago 2024 Host Committee and Democratic National Convention Committee Seek Requests for Proposal for Credentialing Services
Chicago, IL – Today, following a virtual outreach summit, the Chicago 2024 Host Committee and the Democratic National Convention Committee (DNCC) released new requests for proposal (RFP) for credentialing services for the upcoming Democratic National Convention. The DNCC will issue credentials to grant access to convention activities for attendees, including delegates, alternates, vendors, media, staff, volunteers, and program participants.
The Host Committee and DNCC are seeking comprehensive proposals from qualified individuals or companies to provide design and artwork services, platform and scanning services, and secure printing services. The RFPs can be found on the Host Committee’s website, www.chicago2024.com.
Submissions of intents to bid are due the week of February 12, 2024. Submissions of final bids are due by 5:00 pm Central Time on Wednesday, February 21, 2024. Interested applicants must submit an intent to bid prior to submitting a finalized bid for consideration.
“The official credentials for the Democratic National Convention live on long after delegates leave town” said Christy George, Host Committee Executive Director. “These RFPs are an exciting opportunity for Chicago vendors to get involved in creating a lasting piece of political history.”
“Credentials will play an integral role in keeping our events secure and showcasing the story and spirit of President Biden, Vice President Harris, and Democrats,” said Alex Hornbrook, DNCC Executive Director. “We’re excited to tap into Chicago’s rich talent to design, manage, and print credentials.”
The design and artwork scope of work includes, but is not limited to, the development of approximately one-hundred-fifty credential designs, and the creation of up to seven pieces of artwork that can be integrated into the credentials graphic designs. Vendors will be required to work with the DNCC, the secure printing vendor, and other vendors to ensure timely development of credentials.
The platform and scanning scope includes, but is not limited to, a request for software that can accommodate over 300,000 entries and support up to 50 concurrent device accesses. The on-site validation scanning system must seamlessly integrate with the platform and printed credentials to enhance security during the Convention. The system must be user friendly and promptly notify users of the validity status of credentials at approximately fifty ingress/egress points.
The secure printing vendor plays a crucial role in ensuring the secure, high-quality, and timely production of convention credentials specific capabilities. The vendor, utilizing union labor, must have full production control, and credentials should be securely packed and delivered via ground transportation.
The Host Committee and DNCC anticipate that decision announcements, which may be a notice of intent to award the contract or a notice that no contract will be awarded based on this RFP process, will be issued around the week of March 4, 2024.
As with previous RFPs, the Host Committee and DNCC will evaluate bids based on numerous criteria, including but not limited to: experience, reliability, costs, relationships to Chicago and the surrounding region, participation of union labor, women, minorities, veterans, and persons with disabilities.
